Reference Data for a New System
Start-up of a new system requires a significant amount of accurate
reference data to be loaded before day actual operation, so that
the very first transactions can operate properly. Even for a completely
new venture, the operation will, depending on the application, need
things like preloaded names and addresses of key locations and staff;
charts of account; perhaps parts or asset lists with prices or standard
costs.
If the new system is a replacement or an enhancement for an existing
one, then the data from the old system has to be assessed, probably
checked for validity (data cleansing) – perhaps against another
system – and then transferred or migrated.
Frequently the data as available for entry cannot be submitted
into the new system in the way it has been presented. For example
the new system may have entry screens which set up a warehouse or
office as a basic record and then the user adds departmental details
to it, whereas the source data is actually a list of all the departments
in departmental order with warehouse details scattered throughout.
Entry is, of course, possible, but much run-time checking has to
be carried out at implementation. It would be preferable if this
sort of activity could be minimised or carried out well in advance.
